4. DATA COLLECTION ON OUR WEBSITE

Server log files

When visiting our website at https://www.factor-a.com, the browser used on your device automatically sends information to the server on our website. The following data is collected without your intervention and stored until it is automatically deleted:

  • IP address of the enquiring computer
  • data and time of access
  • browser used and your computer’s operating system
  • referrer URL
  • amount of data transferred
  • successful retrieval message
  • status code

The data is also stored in the log files of our system. Storage of this data together with other personal data of the user does not take place.

The temporary storage of the aforementioned data by the system is necessary to enable the website to be delivered to the user’s computer as well as to ensure the functionality and optimisation of our website and to ensure the security of the information technology systems.

The aforementioned data processing is based on Article 6 Para. 1 Sentence 1 lit. f GDPR. In accordance with Article 6 Para. 1 Sentence 1 lit. f GDPR, processing data for the protection of legitimate interests is permitted unless the interests, fundamental rights or freedoms of data subjects requiring the protection of personal data prevail. Our legitimate interest can be seen in the secure provision and functionality of our website.

The data is deleted as soon as it is no longer necessary for achieving the purpose of its collection. This is the case after 30 calendar days at the latest if the data is stored in the log files. Exception: we detect irregularities, e.g. in the form of attacks or other illegal actions. In these cases, we reserve the right to suspend the retention period until the facts of the case have been clarified.

We do not pass your data on to third parties with the exception of our technical website operators and hosting providers. Furthermore, we take appropriate measures and carry out regular checks to ensure that the data we collect cannot be viewed or accessed by third parties from outside.

Contact form

If you contact us about our services, the emails you send may include information about you, such as your name, address, age, gender, email address and your enquiry. We use this information to carry out the following:

  • In line with the legitimate interest we have in promoting our business, we will process your enquiries to provide you with information about the services we offer.
  • This might include replying to your enquiry, or sending you invites to our events.
  • We use SalesForce CRM to process your email address and information supplied by you in the course of an enquiry through the website, and to send you invitations and marketing materials.   • We may also process enquiries to take steps you ask of us with a view to entering into an agreement to provide you with our services.
  • You are under no obligation to provide us with any details, but if you don’t provide all relevant information, we may not be able to help.

Newsletter data

If you would like to receive our newsletter, we require a valid email address as well as information that allows us to verify that you are the owner of the specified email address and that you agree to receive this newsletter. No additional data is collected or is only collected on a voluntary basis. We only use this data to send the requested information and do not pass it on to third parties.

We will, therefore, process any data you enter onto the contact form only with your consent per Art. 6 (1) (a) DSGVO. You can revoke consent to the storage of your data and email address as well as their use for sending the newsletter at any time, e.g. through the “unsubscribe” link in the newsletter. The data processed before we receive your request may still be legally processed.

The user’s consent to the processing of this data is obtained as part of the registration process.

In addition, the following data is stored at the time of registration for the purpose of proving consent:

  • date/ time of registration
  • IP address

The data provided when registering for the newsletter will be used to distribute the newsletter until you cancel your subscription when said data will be deleted. Data we have stored for other purposes (e.g. email addresses for the members area) remain unaffected.

RECRUITMENT

When you apply for a job on this site, the personal data contained in your application will be collected by us. Your personal data was either provided by yourself or obtained from publicly available sources (e.g. LinkedIn) or provided to us by someone who referred you for potential employment.

Your personal data will be processed for the purposes of managing our recruitment related activities in line with our legitimate interests, which include evaluating your candidacy/application for employment with us, setting up and conducting interviews and test for applicants, evaluating and assessing the results thereto, and as in otherwise needed in the recruitment and hiring processes.

Your personal data will be shared with Greenhouse Software Inc., a cloud services provider located in the United States of America and engaged by us to help manage its recruitment and hiring process on our behalf.

Your personal data will be retained by us for 12 months from the date of the application. The data is used in order to improve our recruitment efforts and selection procedure but also as a talent pool. Whenever we have a new opening we can easily access the data of candidates who have shown interest in our company in the past and contact them to see if they are available for a new opportunity. Cookies – using “session cookies” (technically necessary cookies)

We use cookies on our site. These are small files that your browser automatically creates and that are stored on your device (laptop, tablet, smartphone, etc.) when you visit our site. Cookies do not damage your device or not contain viruses, Trojans or any other malware.

Information is stored in the cookie resulting from the specifically used device in each case.

The use of cookies serves on the one hand to make using our service more pleasant and easier for you. We therefore use “session cookies” to recognise whether you have already visited individual pages on our website.

Google Ads and Google Conversion Tracking

This website uses Google Ads. Ads is an online advertising program from Google Inc., 1600 Amphitheater Parkway, Mountain View, CA 94043, United States (“Google”).

As part of Google Ads, we use so-called conversion tracking. When you click on an ad served by Google, a conversion tracking cookie is set. Cookies are small text files that your internet browser stores on your computer. These cookies expire after 30 days and are not used for personal identification of the user. Should the user visit certain pages of the website and the cookie has not yet expired, Google and the website can tell that the user clicked on the ad and proceeded to that page.

This website service uses Mouseflow, a web analysis tool of Mouseflow ApS, Flaesketorvet 68, 1711 Copenhagen, Denmark (hereinafter “Mouseflow”).

Mouseflow uses cookies (for more information on cookies see 4) and creates pseudonymous user profiles. Visits to this website service are randomly selected and individual visits (only with an anonymised IP address) are recorded.
